Outlook synchronization with the CRM allows you to link your calendar with your activities within the CRM, helping you automatically create your activities within the Outlook calendar. This way, you can view the information associated with the activity, such as the contact, client, and description, in your Outlook calendar.

You must ensure that the CRM and Outlook time zones are the same so that activities carried out from the platform to the calendar are accurate. If not, the activities will be created with different times.

2. Set equal time zones

To confirm that the time zones are the same, follow these steps:

  • From the CRM

    Log in to your CRM and continue the following process:

    1. Click on your username and then on 'My Preferences'.

      There you can check what time zone your CRM is in.

      If you want to change the time zone, simply click on it.

      Then, open the list of available options and select the one that suits you best.

  • From Outlook

    Sign in to your email by clicking here , and there continue with the following step-by-step instructions:

    1. Press the settings gear.

    2. Press the 'General' menu.

    3. Click on 'Time Zone'.

    4. Go to Time Zone and set it to the same as the CRM. If they match, skip this step.

3. Synchronization process

Enter the CRM and follow the step-by-step instructions:

  1. Press the 'Calendars' menu.

  2. Click on 'Calendar List'.

  3. Press the hidden tab on the left edge of the screen.

  4. Click 'Microsoft Calendar' and then 'Access with Outlook'.

    The system will prompt you to log in with your Outlook account.

  5. Press the 'Yes' button to grant sync permission.

    After accepting, you'll be taken to the canvas. Your Outlook calendar is now synced. When you add tasks that are in the planned status and are marked for appearance on the calendars, you'll be able to view them in the Outlook calendar.

4. Activate calendar permissions

Log in to your CRM and continue step by step:

  1. Tap the gear and then 'CRM Settings'.

  2. Click the 'Study' menu and then click 'Drop-down List Editor'.

  3. Select the information below:

    • Select module: Activities

    • Select Activities drop-down list: Activity Type

  4. Check that the calendar checkbox is active in the activity types. If not, click the box and activate it.

Remember that if the calendar check is not active, what will happen is that the activity will not be synchronized with the Outlook calendar.

5. Remove synchronization

Log in to your CRM and continue step by step:

  1. Press the 'Calendars' menu.

  2. Click on 'Calendar List'.

  3. Press the hidden tab on the left edge of the screen.

  4. Click 'Microsoft Calendar' and then 'Sync Eliminator'.

    The CRM will show you a message confirming that the synchronization was successfully deleted.
